Booking Conditions
BOOKING GUARANTEE - PRE-AUTHORIZATION
To be confirmed, a reservation must be guaranteed either by a credit card; or by payment via a debit card; or by bank transfer.
Please note that payment is made in the hotel's local currency (EUR), which may generate transaction/conversion fees from your bank.
CREDIT CARD:
Your valid credit card details (Visa, MasterCard, American Express) must be provided to guarantee your reservation. Your credit card number and expiration date will be verified using a verification sequence. It must be valid during your stay.
7 days (or 48 hours depending on the cancellation policy selected) before your scheduled arrival date, the availability of funds on your card will be verified and the total amount pre-authorized. No payment will be processed. If the availability check on your card is negative, we reserve the right to cancel your reservation.
The credit card used for the reservation must be presented upon check-in.
Please note that we cannot charge a credit card without the cardholder's authorization. Therefore, if the name on the identity card or passport presented at check-in does not match the name on the credit card, written authorization from the cardholder must be presented (form available upon request). If proof of ownership and authorization cannot be validated, an alternative method of payment must be provided as soon as possible. We reserve the right to cancel your reservation.
DEBIT CARD:
If paying by debit card (Bancontact, IDEAL or Maestro), your card will be debited for the total amount at the time of booking.
BANK TRANSFER:
If paying by bank transfer, your reservation will be confirmed upon receipt of payment.
PAYMENT OF A FLEXIBLE RATE
Full payment for your stay is required no later than upon arrival (check-in). You will be informed accordingly when you make a reservation request. Traveler's checks, personal checks, or foreign currency cash are not accepted for payment.
PAYMENT FOR A NON-REFUNDABLE RATE
The total amount of your stay will be charged to your credit card by the hotel at the time of booking and is non-refundable. It is not possible to postpone this amount for a stay on a different date.
CANCELLATION OF A FLEXIBLE RATE
You can always cancel your reservation, but not always without charge. Cancellations and changes must be made in writing (e.g., email). We do not accept cancellations or reservation changes by telephone or in person. A confirmed reservation can be canceled or modified free of charge up to 7 days (or 48 hours depending on the cancellation policy selected) before the scheduled arrival date (for example, if you book for an arrival on June 25, you have until June 17 at 11:59 PM, Belgian time, to cancel free of charge).
After this period, cancellation or no-show will result in full payment of the number of nights confirmed at the time of booking, and the amount will be charged to your credit card.
Reservations made less than 2 days before the arrival date cannot be canceled or modified free of charge.
Does not apply to non-refundable rates.
CANCELLATIONS FOR A NON-REFUNDABLE RATE
Cancellations and changes must be made in writing (e.g., by email). We do not accept cancellations by telephone or in person. In the event of cancellation, no-show on the day of arrival, or modification, your credit card will be charged the full amount due for your reservation. No refunds are possible. This charge is a penalty and not a payment, it is not possible to occupy the room.
MULTIPLE BOOKINGS
Reservations for 5 or more rooms are considered group bookings. Special rates and conditions may apply. Please contact us at info@domainederonchinne.be with your request.
PACKAGES
Packages are sold as a whole. It is not possible to be reimbursed for unused services (for example, if you do not use the swimming pool or if you do not have breakfast even though it is included in the rate, etc.).
IDENTIFICATION DOCUMENT
An official identity card or a valid passport with a photograph must be presented at check-in. Driver's licenses, residence permits, medical cards, or any other documents will not be accepted.
SECURITY DEPOSIT FOR POTENTIAL DAMAGES
A security deposit of a minimum of €150.00 is required upon arrival. This will be pre-authorized on your credit card during check-in and released upon departure. The deposit must be paid in cash or via debit card if you do not have a valid credit card. Your deposit will be fully refunded subject to an inspection of the property.
PAYMENT FOR ON-SITE CONSUMPTION:
The credit card used to guarantee the reservation may be used to deduct any additional costs incurred during your stay, such as your consumption at the bar, restaurant, in our small shop, etc.
To speed up the check-out process, you will be asked during check-in if we can charge your credit card during the last night of your stay. With your agreement, your bill will be prepared, and you can simply pick it up by dropping off the keys at reception before your departure. If you prefer to check out online yourself OR if you wish to do so via reception, please indicate this upon arrival. Similarly, if you wish to use another payment method for your consumption, please add it at check-in.
BILLING
Please inform our services of the billing address no later than check-in. For companies, a VAT number is required.
NON-SMOKING HOTEL
We would like to remind our guests that our rooms and indoor areas are strictly NON-SMOKING zones. In case of non-compliance with this rule, a fine of €120.00 will be charged to your room. Ashtrays are available on the terraces and under the porch.
ANIMALS
Pets must stay at home.
CITY TAX
No city tax.
BREAKFAST
Breakfasts included in a rate are considered as a "package" and cannot be modified.

EVENING MEAL
The reservation for the evening meal is binding. Its cost will be automatically added to your bill if you have not canceled it at least 24 hours before your stay.
EXTRA BED / CHILDREN / BABIES
A maximum of 1 baby cot can be provided free of charge in the room upon request.
A maximum of 1 baby (under 4 years old) or 1 child (under 11 years old) sleeps free of charge in the existing bedding.
No extra beds are available.
PARKING
A large free car park is available for hotel guests and is located to the North-East of the estate. A drop-off area is located in front of the Château entrance (reception) and is available for loading/unloading luggage. Maximum 5 minutes.
DROUGHT
In case of a drought declared by the management of the Domaine de Ronchinne, customers are prohibited from lighting a fire on the premises, even in the usual designated areas. No compensation may be demanded by the customer.
ETIQUETTE
We kindly ask you not to consume your own drinks or food in our common areas. Otherwise, we reserve the right to charge a corkage or service fee.
Guests are required to report any planned meetings, team building activities, or group activities to the reception in advance so that the necessary arrangements can be made. Additional fees may apply for the use of equipment and services.
We kindly ask you to respect the tranquility and integrity of the common areas of Domaine de Ronchinne. Any unauthorized use, privatization, or disruption of common areas is strictly prohibited. Additional fees may be charged in the event of a violation of this rule.
