Reservation conditions

RESERVATION GUARANTEE - PRE-AUTHORIZATION

To be confirmed, a reservation must be guaranteed by either credit card; debit card payment; or bank transfer.
Please note that payment is made in the hotel's local currency (EUR), which may incur transaction/conversion fees from your bank.

CREDIT CARD:
Valid credit card details (Visa, MasterCard, American Express) must be provided to secure your reservation. Your credit card number and expiration date will be verified using a verification sequence. It must be valid during your stay.

7 days (or 48 hours depending on the cancellation policy selected) prior to your scheduled arrival date, the availability of funds on your card will be verified and the total amount pre-authorized. No payments will be processed. If your card availability check is negative, we reserve the right to cancel your reservation.

The credit card used for the reservation must be presented at check-in.

Please note that we cannot charge a credit card without the owner's authorization. Therefore, if the name on the ID card or passport presented at check-in does not match the name on the credit card, a written authorization from the cardholder must be presented (form upon request). If the proof of ownership and authorization cannot be validated, an alternative method of payment must be provided as soon as possible. We reserve the right to cancel your reservation.

DEBIT CARD:
In case of payment by debit card (Bancontact, IDEAL or Maestro), you will be charged the total amount at the time of your reservation.

BANK TRANSFER:
In case of payment by bank transfer, your reservation will be confirmed upon receipt of payment.

PAYMENT OF A FLEXIBLE RATE

Full payment for your stay is required at the latest upon arrival (check-in). You will be informed accordingly when you make a reservation request. Traveler's checks, personal checks or cash in foreign currency are not accepted for payment.

PAYMENT FOR A NON-REFUNDABLE RATE

The total amount of your stay will be charged to your credit card by the hotel at the time of booking and is not refundable. It is not possible to carry over this amount for a stay at a different date.

CANCELLATION OF A FLEXIBLE RATE

You can always cancel your reservation, but not always free of charge. Cancellations and changes must be made in writing (e.g. email). We do not accept cancellations or changes to reservations by phone or in person. A confirmed reservation can be cancelled or changed without charge up to 7 days (or 48 hours depending on the cancellation policy selected) before the scheduled arrival date (for example, if you book for an arrival on June 25, you have until June 17, 23:59 Belgian time to cancel without charge).

After this time, cancellation or no-show will result in full payment of the number of nights confirmed at the time of booking and the amount will be charged to your credit card.

Reservations made less than 2 days before the arrival date cannot be cancelled or changed without charge.

Does not apply to a non-refundable rate.

CANCELLATIONS FOR A NON-REFUNDABLE RATE

Cancellations and changes must be made in writing (e.g., by email). We do not accept cancellations by phone or in person. In the event of a cancellation, no-show or change, your credit card will be charged the full amount due for your reservation. No refunds are possible. This charge is a penalty and not a payment, it is not possible to occupy the room.

MULTIPLE RESERVATIONS

Reservations for 5 or more rooms are considered group reservations. Special rates and conditions may apply. Please contact us at info@domainederonchinne.be with your request.

PACKAGES

Packages are sold as a whole. It is not possible to be reimbursed for unused services. (For example if you don't use the swimming pool or if you don't take the breakfast which is included in the price,...).

IDENTIFICATION DOCUMENT

An official ID card or passport with a valid photo must be presented at check-in. Driver's license, residence permit, medical card or any other document will not be accepted.

DEPOSIT FOR POSSIBLE DAMAGES

A deposit of minimum 150,00 € is required upon arrival. This will be pre-authorized on your credit card upon check-in and cancelled upon check-out. The deposit must be paid in cash or via debit card if you do not have a valid credit card. Your deposit will be refunded in full upon inspection of the property.

PAYMENT OF THE DRINKS ON THE SPOT :

The credit card used to guarantee the reservation can be used to deduct the extra costs of your stay such as your consumption at the bar, restaurant, in our small store,...
In order to speed up the check-out process, you will be asked at check-in if we can charge your credit card during the last night of your stay. With your agreement, your bill will be produced and you can simply come and collect it by dropping the keys at the reception before your departure. If you prefer to check out online OR if you wish to check out through the reception, please indicate this upon arrival. Similarly, if you wish to use another means of payment for your drinks, please add it at check-in.

BILLING

Please inform our services of the billing address at the latest upon registration. For companies, a VAT number is required.

NON-SMOKING HOTEL

We would like to remind our guests that our rooms and interior spaces are strictly NO SMOKING areas. If this rule is not respected, a fine of 120,00 € will be charged to your room. Ashtrays are available on the terraces and under the porch.

ANIMALS

Pets must stay at home.

TOURIST TAX

No tourist tax.

BREAKFAST

Breakfasts included in a rate are considered a "package" and cannot be changed.
If not already included in the room rate, breakfast charges are as follows:

EVENING MEALS

Reserving the evening meal is binding. Its cost will be automatically charged to your bill if you do not cancel it, at the latest, 24 hours before your stay.

EXTRA BED / CHILDREN / BABIES

Maximum 1 baby bed on request can be provided free of charge in the room.
Maximum 1 baby (under 4 years old) or 1 child (under 11 years old) sleeps free of charge in the existing bedding.
No extra bed available.

PARKING

A large free parking lot is available for hotel guests and is located to the northeast of the estate. A drop-off point is located in front of the entrance to the Château (reception) and is available for loading/unloading luggage. Maximum 5 minutes.

DROUGHT

In case of a drought declared by the management of the Domaine de Ronchinne, customers are prohibited from lighting a fire on the premises, even in the usual designated areas. No compensation may be demanded by the customer.

ETIQUETTE

We ask you not to consume your own drinks or food in our communal areas. Otherwise, we reserve the right to charge you a corkage or fork fee.

Guests are required to inform reception of any planned meetings, team-building or group activities in advance so that the necessary arrangements can be made. Additional charges may apply for the use of facilities and services.

Please respect the tranquillity and integrity of the common areas of Domaine de Ronchinne. Any unauthorized use, privatization or disturbance of common areas is strictly forbidden. Additional fees may be charged for any violation of this rule.
